Be Peace Retreat in Spain Autumn 2026 — Participant Agreement & Conditions

By purchasing a ticket and participating in a Be Peace retreat, gathering, or event (ā€œRetreatā€), you acknowledge that you have read, understood, and agreed to the following terms and conditions.

1. Participant Agreement

The Be Peace retreat is a community-centered gathering focused on music, kirtan, meditation, yoga, movement, personal reflection, and shared experiences.

By participating, you agree to:

  • act respectfully toward other participants, organizers, volunteers, venue staff, and local communities,
  • contribute to a safe, welcoming, and supportive environment,
  • follow practical instructions given by organizers or venue staff,
  • take personal responsibility for your own physical, emotional, and mental well-being during the retreat,
  • participate voluntarily and within your own personal limits.

Be Peace reserves the right to remove participants from retreat activities without refund in cases of serious misconduct, dangerous behavior, harassment, violence, illegal activity, or repeated disruption of the community environment.

2. Cancellation & Refund Policy

All retreat bookings are binding.

Participant Cancellation

If a participant cancels their booking, the following cancellation terms apply:Ā 

Tickets are non‑refundable. If you can no longer attend, we’re happy to offer your ticket to people on the waiting list. If someone takes it, we’ll refund you the full ticket price. We can’t guarantee an exchange, but we’ll always do our best.

However, we understand that unexpected things can happen, and we’ll do our best to support you if your plans change. We will gladly help with statements for your insurance company in case you will need to cancel.

If the retreat is cancelled due to unforeseen circumstances (e.g., venue issue, national emergency), you will receive a full refund of your payment.

Organizer Cancellation

If Be Peace cancels the retreat due to organizer-related reasons, participants will receive either:

  • a full refund of the retreat payment received by Be Peace, or
  • the option to transfer the payment to a future retreat.

Be Peace is not responsible for external participant costs such as flights, insurance, visas, transportation, lost work income, or other independently booked services.

Force Majeure

Be Peace is not liable for cancellations, delays, changes, or interruptions caused by circumstances beyond reasonable control, including but not limited to:

  • extreme weather,
  • natural disasters,
  • pandemics,
  • government restrictions,
  • strikes,
  • war,
  • transportation disruptions,
  • venue closures,
  • utility failures,
  • political instability,
  • or other unforeseen events.

In such situations, partial refunds, credits, rescheduling, or alternative arrangements may be offered at the organizer’s discretion depending on actual recoverable costs.

We strongly recommend all participants purchase comprehensive travel insurance.

3. Code of Conduct

We aim to create a respectful and supportive atmosphere rooted in kindness, awareness, inclusion, and community care.

Participants agree to:

  • communicate respectfully,
  • respect personal boundaries and consent,
  • avoid harassment, discrimination, intimidation, or abusive behavior,
  • refrain from dangerous or disruptive conduct,
  • respect quiet hours and shared spaces,
  • avoid excessive intoxication or substance misuse during retreat activities.

Any behavior that significantly harms the safety or well-being of others may result in removal from retreat activities without refund.

4. Informed Consent

By participating, you understand that retreat activities may include:

  • yoga,
  • movement practices,
  • meditation,
  • breathwork,
  • hiking,
  • music events,
  • group activities,
  • emotional sharing,
  • outdoor activities,
  • and other wellness or community experiences.

You acknowledge that participation carries inherent physical, emotional, and environmental risks, including injury, illness, emotional discomfort, fatigue, allergic reactions, accidents, or unexpected health complications.

Participation is entirely voluntary.

You agree to listen to your own body and limits, and to stop any activity if needed.

5. Liability Waiver

To the maximum extent permitted by applicable law, participants acknowledge that they participate at their own risk.

Be Peace, its organizers, teachers, volunteers, musicians, contractors, partners, and venue collaborators shall not be held liable for:

  • injuries,
  • illnesses,
  • accidents,
  • emotional distress,
  • loss of personal belongings,
  • travel disruptions,
  • property damage,
  • participant negligence,
  • or indirect damages arising during or related to the retreat.

Nothing in these terms excludes liability where exclusion is not permitted under applicable law.

6. Mental Health & Emotional Well-being Disclaimer

The retreat is intended as a community, wellness, and cultural experience.

It is not psychotherapy, psychiatric treatment, trauma therapy, medical treatment, or crisis care.

Retreat activities may occasionally involve emotional experiences or personal reflection.

Participants are responsible for assessing whether participation is appropriate for their own mental and emotional condition.

If you are currently experiencing severe psychological distress, acute trauma, psychosis, suicidal ideation, or serious untreated mental health conditions, we recommend consulting an appropriate healthcare professional before participating.

Organizers may recommend that a participant refrain from certain activities if safety concerns arise.

7. Emergency Medical Authorization

In the event of illness, injury, incapacity, or medical emergency during the retreat, participants authorize organizers to seek appropriate medical assistance on their behalf when reasonably necessary.

Participants remain personally responsible for:

  • medical expenses,
  • insurance coverage,
  • medications,
  • emergency transportation,
  • and healthcare costs.

Participants should carry necessary medications and disclose any serious medical conditions that may be relevant for emergency safety.

8. Food & Allergy Disclosure

Meals may be prepared in shared kitchens or by third-party providers.

While organizers aim to accommodate dietary preferences where reasonably possible, Be Peace cannot guarantee completely allergen-free environments.

Participants with allergies, intolerances, or medical dietary requirements participate at their own responsibility and are encouraged to communicate important information before arrival.

Participants remain responsible for managing their own health needs and medications.

9. Property Access & Natural Hazards Waiver

Retreat venues may include:

  • uneven terrain,
  • stairs,
  • natural outdoor environments,
  • pools,
  • beaches,
  • hiking areas,
  • wildlife,
  • weather exposure,
  • and other environmental risks.

Participants acknowledge these conditions and accept responsibility for acting carefully and responsibly throughout the retreat.

Parents or guardians remain responsible for supervising minors at all times unless otherwise explicitly agreed.

10. Transportation Disclaimer

Any shared transportation information, ride coordination, airport suggestions, or group travel assistance provided by Be Peace is offered as informal logistical support only.

Unless explicitly stated otherwise, transportation services are operated by independent third parties.

Be Peace is not liable for:

  • delays,
  • missed connections,
  • accidents,
  • transportation provider issues,
  • lost luggage,
  • or travel disruptions.

Participants are responsible for arranging and confirming their own travel logistics.

11. Valuables & Lost Property Disclaimer

Participants are responsible for safeguarding their own personal belongings at all times.

Be Peace is not responsible for loss, theft, or damage involving:

  • passports,
  • cash,
  • electronics,
  • jewelry,
  • luggage,
  • vehicles,
  • or unattended personal property.

Any lost items found after the retreat may be returned at the participant’s shipping expense when reasonably possible.

12. Media & Likeness Release

Retreats may include photography, audio recording, or video recording for community memories, documentation, and promotional purposes.

By participating, you grant Be Peace permission to use photographs, video, or recordings in which you may appear for:

  • websites,
  • social media,
  • future retreat promotion,
  • community documentation,
  • and related non-commercial or promotional materials.

If you do not wish to appear in media content, please inform the organizers in writing before or during the retreat, and reasonable efforts will be made to respect your preference.

13. Intellectual Property (IP) Agreement

All retreat materials, workshop structures, recordings, branding, written materials, music arrangements, educational frameworks, and organizer-created content remain the intellectual property of their respective creators unless otherwise stated.

Participants may not commercially reproduce, distribute, record for resale, or publicly republish retreat content without prior written permission.

Participants retain ownership of their own personal creations and content shared during the retreat.

14. Volunteer Agreement

Some participants may contribute as volunteers.

Volunteer participation is understood as voluntary community contribution and does not constitute employment unless explicitly agreed in writing.

Volunteers remain responsible for:

  • personal insurance,
  • travel arrangements,
  • visas,
  • taxes,
  • and legal work permissions where applicable.

Be Peace may adjust volunteer roles, schedules, or responsibilities as needed for retreat operations.

15. Accommodation & Third-Party Providers

Accommodation, meals, and certain practical services may be provided by independent third-party venues or local partners.

Be Peace may act as organizer and/or payment intermediary for portions of the retreat experience.

Specific accommodation standards, room arrangements, and shared facilities may vary depending on venue logistics and availability.

Participants acknowledge that certain services are delivered by external providers operating under their own legal and operational responsibility.

16. Travel Insurance Recommendation

All participants are strongly encouraged to obtain comprehensive travel insurance covering:

  • medical treatment,
  • cancellations,
  • travel delays,
  • personal belongings,
  • accidents,
  • and emergency evacuation where relevant.
17. Alternative Venue Arrangements:

In the event of unforeseen circumstances, the organizers reserve the right to relocate the event to a comparable venue within the east coast region of Spain. Any changes will be communicated to participants as promptly as possible.

18. Acceptance of Terms

By purchasing a ticket, making payment, or participating in a Be Peace retreat, you confirm that:

  • you have read and understood these terms,
  • you voluntarily accept these conditions,
  • you understand the inherent risks of participation,
  • and you agree to participate responsibly and respectfully within the retreat community
